Definitions
The following definitions have been prepared for the "PEP/PEP Up" program review dashboard.
FTES
This chart shows total FTES generated and the number of sections offered by a discipline
in an academic year. Only FTES claimed for apportionment are used.
- Academic year: summer, fall, winter, and spring terms.
- FTES: full-time-equivalent student.
- Number of sections offered in academic year is a unique count of sections. Cross-listed
sections are counted only once.
- Data Source: Colleague - COURSE.SECTIONS file; 320.Work file.
FTE Faculty by Academic Year
This chart shows number of FTEF by academic year.
- Academic year: summer, fall, winter, and spring terms.
- FTEF: full time equivalent faculty
- Full Time, Overload, Part Time: contract type.
- Data Source: Colleague - COURSE.SECTIONS file.
Efficiency
This chart shows the number of weekly student contact hours divided by FTEF.
- Academic year: summer, fall, winter, and spring terms.
- Data Source: Colleague - COURSE.SECTIONS file; 320.Work file.
Fill Rate
This chart shows the fill rate in fall and spring terms.
- Fill rate: the number of students enrolled divided by the capacity of enrollments.
- The following classes are excluded from the fill rate calculation:
- classes with capacity less than five.
classes with "X" accounting method (not claimed for apportionment).
ABE classes.

Enrollment & Headcount
This chart shows number of students enrolled and the number of seats filled.
- Academic year: summer, fall, winter, and spring terms.
- Headcount: the unique number of students enrolled in classes at census who enrolled
in a:
- weekly or daily census section;
- credit positive attendance section with 8 or more hours attended or 0.5 units or more
earned;
- credit Independent Study section with 0.5 units or more earned;
- credit Independent Study section with less than 0.5 units earned;
- non-credit positive attendance section with 8 or more hours attended;
- non-credit positive attendance section with less than 8 hours;
non-credit Independent Study section and/or positive attendance section with no hours.
- Enrollment: The number of student who earned grades of A, B, C, D, F, P/CR, NP/NC,
I*, IPP, INP, FW, W, DR grades and:
- enrolled in a section counted for apportionment
- if enrolled in a positive attendance course, attended the course for any amount of
time.
- Example: 1 student enrolled in 3 classes=1 headcount and 3 enrollments.

Age
This chart shows the percent of student by age.
- Headcount: see definition in "Enrollment & Headcount."
- Age is calculated at the beginning of term based on student's birth date.

Ethnicity
This chart shows the percent of students by ethnicity.
- Headcount: see definition in "Enrollment & Headcount."
- Data Source: MIS ST file.
Gender
This chart shows the percent of students by gender.
- Headcount: see definition in "Enrollment & Headcount."
- Data Source: MIS ST file.
Education Status
This chart shows the percent of students by education status.
- Headcount: see definition in "Enrollment & Headcount."
- Data Source: MIS ST file.
Socio-Economic Status
This chart shows the percent of students by Socio-economic status (SES).
- Headcount: see definition in "Enrollment & Headcount."
- Low SES: students are considered to have a low SES if they received one of the following
types of financial aid awards:
- California College Promise Grant (formerly known as a Board of Governors [BOG] grant)
- Pell grant
- SEOG (Supplemental Educational Opportunity Grant)
- High SES: students who received a financial aid award but not included in the Low
SES category.
- n/a: students who did not apply for financial aid.
- Data Source: MIS ST and SF files.
Success & Retention
This chart shows success and retention rates.
- Success rate (credit): the number of A, B, C, P/CR, IA, IB, IC, or IPP grades divided
by enrollment.
- Retention rate (credit): the number of A, B, C, D, F, P/CR, NP/NC, I*, IPP INP, or
FW grades divided by enrollment.
- Enrollment: please see the definition in "Enrollment & Headcount."
- Data Source: MIS SX file.
- Success rate (non-credit): the number of P/CR grades divided by non-credit enrollment.
- Retention rate (non-credit): not calculated because drops are not recorded. Shown
as zero.
- Enrollment: please see the definition in "Enrollment & Headcount."

Degrees & Certificates
This chart shows total number of degrees and certificates awarded.
- If a student earned one degree and two certificates in the same year, they are counted
once for awards and twice for certificates.
